Parish Administrator

Purpose of Position

St George’s is an active congregation in the West Island of Montreal looking for a person with outstanding personal and administrative skills to support its ministry on a part-time basis. The Parish Administrator is a first point of contact for anyone requesting information about the Church or its activities and ministries. The Administrator is responsible for overseeing the efficient administration of church operations while supporting the ministry of the church by assisting the clergy, and wardens. All activities associated with this position must be carried out in a manner consistent with the mission of St. George’s and the policies of the Anglican Diocese of Montreal.

 Major Responsibilities

  • Welcome people during the week, responding to phone calls, emails and in person enquiries. The intermittent nature of visitors and inquiries will require the Parish Administrator be interrupted during administrative tasks to greet and assist people.

  • Publish weekly Sunday worship bulletin and all special worship services as required

  • Prepare worship roster on a bi-monthly basis

  • Maintain the church space calendar ensuring that all church events have space allocated and informing the cleaner as required

  • Maintain all registers including baptism, confirmation, marriage, and funerals

  • Develop advertising posters, flyers and other promotional materials

  • Prepare weekly/occasional emails to the congregation

  • Ensure that office equipment and supplies are maintained, order supplies on a proactive basis

  • Ensure liturgical supplies are maintained including candles, hosts, wine etc.

  • Collect reports, prepare, and print the annual vestry report.

  • Submit diocesan-required reports online in a timely fashion, including the annual vestry report

  • Maintain a neat and welcoming parish office.

  • Open and route mail; distribute emails appropriately

  • In conjunction with the Envelope Secretary, keep an accurate database of parishioners.

  • Manage parish email distribution lists

  • Maintain keys inventory

  • Greet food cupboard clients and prepare their bags as necessary

  • Assist clergy and wardens as required

Required Skills

  • Proficiency in Microsoft Office suite – Excel, Word, Publisher

  • Related work experience an asset

  • Familiarity with Anglican liturgy is an asset

  • Ability to set priorities, organize, meet deadlines, and multitask

  • High degree of attention to detail

  • A people person with a cheerful manner and diplomatic people management skills

  • Able to handle confidential information with discretion

  • A self starter: be able to see what needs to be done and do it and work with minimum supervision

Compensation

Reports to the Rector and Wardens. This is a part-time position, 8 hours per week. Office hours are typically Thursday and Friday mornings. This position will require a police background check and is subject to a probationary period of 6 months. Salary to be discussed.
